Why a privacy policy?

This privacy policy describes the data we collect about you, how it is used, with whom and under what conditions, if any, it is shared with third parties. What is personal data?

Personal data includes any information that can be traced directly back to you as an individual. This includes, for example, your name, phone number, address and e-mail address. In addition, personal data also includes data such as your IP address or your customer number with Reemster. Furthermore, unique data such as your order history with Reemster or your surfing behaviour also fall into this category.

From whom do we process personal data and how do we receive it?

We process personal data of everyone we have contact with in the context of fulfilling an order placed with us. Why do we collect the data?

Why we collect data depends on your relationship with us.

  • Are you a (potential) customer? Then we need your data to be able to send you a (personalised) offer, to determine what specifications or requirements a product or service should meet, to process and fulfil your orders, including managing payments, shipping and returning orders, performing work, and communicating efficiently about the status of the agreement. We also use the data to provide customer support and respond to your queries.
  • Are you a (potential) supplier or contractor? Then we need your data to contact you (in person) for purposes that are in the interest of our business, such as discussing a cooperation, exchanging information and maintaining our network. To let you know what specifications a product or service has to meet, to send you a request for a quotation, to place an order, to pay invoices and to communicate efficiently about other aspects of a (potential) agreement with us.
  • Are you a website visitor? Then we need your data to analyse trends and usage patterns so that we can better understand how visitors use our website. This also allows us to continually optimise the usability, navigation and overall experience of our website. Your data helps us determine what content is most relevant and useful to you and our website visitors in general. This allows us to better tailor our website content to the needs and interests of you and our users. We also use the data to quickly identify and fix technical faults. Are I obliged to provide the data and how long will my data be kept?

You are not obliged to provide us with your personal data. Without it, we may not be able to fulfil the stated purposes. If you do not provide us with enough data, we may not be able to enter into a contract with you.

What data can Reemster employees see?

You can contact us by calling, emailing or chatting. In doing so, we may use the data stored in your customer account such as name, e-mail address, telephone number and order number to identify and contact you. This allows our staff to help you faster and better. We store correspondence between you and our staff to improve the quality of our service and to be able to read back any agreements. We may also use the data in your account to reward you for contacting us. This allows us to express our appreciation to you. 

Do I receive personal recommendations from Reemster?

In order to recommend products to you, we use general customer behaviour and statistics. When you browse through articles on our website, you will see other articles that we recommend. These recommendations are based on the article or category you are currently viewing. Based on statistics, we know that customers who bought this article were also interested in other articles. These recommendations are not personal: everyone viewing this article will see the same recommendations. We will therefore always show you these recommendations, even if you have not chosen to share your personal data.

If you give us permission, we may display more relevant ads on and off our website and send you personalised messages. Our recommendations and/or personalised ads are based on the interest profile we create for you, on what you have previously searched for or purchased from us and on the interests you have shown by browsing certain items or categories in our shop. We do not use your data to offer you prices that differ from those of other customers. However, if you return to our site, we may have changed the price of certain products in the meantime and prices may differ by country. These differences may be due to different VAT rates and different shipping costs, among other things.

What personalised messages can I expect?

We regularly have offers, promotions, new products or changes to our range that we would like to share. We may share this information via e-mail if you have signed up for our newsletter, or through advertisements, for example through Google and Microsoft's ad network.

If you have an account with us and have placed one or more orders, we will send you personalised recommendations by e-mail. These are suggestions and information about our products and services based on your purchases. We do not do this if you have indicated that you do not want to receive these messages. To personalise these messages, we look at your order history and your search and click behaviour on our website. We have a legitimate interest in doing this. In our e-mail communications, we use technology that allows us to see whether you read our messages and which hyperlinks you click on in these messages. We do this for analysis purposes, for example to find out whether an e-mail is widely read or not.

What personal data does Reemster use for a personalised experience?

We, our ad networks and our technology partners may show you personalised ads on websites outside our domains if you have given your consent. The personalisation is based on the interest profile we have of you. We recognise you outside our website through tracking cookies and server-side tracking. These are techniques that, if you have given us permission, link the device you use to visit our website to your use of our site, such as your clicks and search behaviour. This allows us to show you personalised ads outside our website, for example about a product you have already viewed with us. If you do not give us permission to show you personalised ads, you may still see ads from us, but they will not be based on the data we hold about you.

Why does Reemster have a legitimate interest in personalised ads?

We have a legitimate interest in processing your data for marketing, customer service and product development purposes. This helps us to serve you better and improve our products and services. We take appropriate measures to protect your privacy and not keep your data longer than necessary. If you order from us regularly, we will store and use your data to inform you by e-mail in the future about our products and services similar to what you have previously purchased from us, and to make you offers for these. With whom do you share my personal data?

We share your personal data with third parties only when necessary for the performance of our services, for storage and processing of our order and financial records, for analytical purposes, marketing, payment processing, improving loading times of our website, e-mail services, and customer relationship management. Below is an overview of the situations in which we provide personal data to third parties and the reason for doing so.

In connection with agreement performance
We provide your data to third parties to perform our agreements, such as:

  • Suppliers and subcontractors performing work for us.

For storage and processing of our website and administration
We use external server space to store our website, order and financial administration and contacts. Your personal data is shared, for example, with:

    • Shopify: For administration of our website incl. storage of customer accounts
    • Microsoft: For storage of emails and other files
    • Exact Software: for order and financial administration
    • Gorgias: For customer relationship management

Analytics and Tracking

Do you have a processor agreement with external service providers?

Yes, we ensure that all external service providers have processor agreements with us to comply with legal privacy requirements and thus protect your personal data.

How long does Reemster keep my personal data?

We will retain your personal data for a period necessary to fulfil the purposes set out in this privacy policy, and to comply with legal obligations. After this period, your data will be securely deleted or anonymised. If we have not established a lasting relationship and/or agreement with you, your data will be deleted or anonymised no later than one year after our last contact. If we did establish a lasting relationship and/or agreement with you, your data will be kept for seven years after the end of the financial year in which the agreement was executed, in accordance with Dutch tax law. If we sell to a private individual and/or non-VAT-registered relationship within the EU and we use the one-stop shop system (OSS), your data will be kept for ten years after the end of the financial year in which the agreement was executed in order to comply with tax legislation.
